Transferring an Individual to Archive

 
Available in Current Personnel Only
 
When an individual leaves employment, their details need to be transferred from the Current Personnel system to Archived Personnel.
 
Use the Current Personnel option.

Find

Use this option to select the required individual.
 
Enter the required selection criteria to select the individual who is leaving employment, e.g. Surname.
 
Choose OK to find the person.
 
When the selected person's record is found, further options will be displayed:

Archive

Choose this option to move the Individual to Archived Personnel.
 
Enter a Leaving Date, if applicable.
 
Choose OK to transfer the individual to Archived Personnel (or choose Cancel to keep the individual in Current Personnel).
 
The system will check to make sure that the individual does not have any uncancelled Vettings, hold any Classified Material or are the Site or Contract Manager of any Classified Contracts.
 
If the individual does have any of the items, a message box will be displayed giving further details:
 
 
The system will not allow the individual to be archived under those conditions until:
:
  • If they still hold Classified Material then all Material must be returned or transferred to another individual.
  • If they hold Uncancelled Additional Vettings then all Vettings must have a Vettings Cancelled Date entered.
  • If they are designated as a Project or Contract Manager for contracts, then those contracts must be allocated to another individual.
     
The system will also inform the user if the Individual has a Blue Card, as IVCO will need notification that the person is leaving employment. Possession of a Blue Card will not prevent a person from being archived.
 
The individual's details may be retrieved from the Archive by following the same procedure in Archived Personnel and choosing the Retrieve option.
