Material Tracking System: Data Entry / Enquiry

Current Material

Used to enter and maintain details of all currently active Material. This screen allows the Material information to be maintained and enhanced to include details of any Material that have been issued to personnel or returned by. Further options allow the Mustering of Issued Material. An Archive option allows destroyed or Non-Returnable Material to be sent to Archived Material to prevent cluttering Current Material with irrelevant information. An Information option allows the display of the Movement History of an Item. See Current Material for more information on functionality.

Archived Material

Used to enquire on or retrieve details of all Items which have been destroyed or issued Off-Site and are not expected to be returned. Only the Notes information can be modified through this screen. A Retrieve option allows information to be returned to Current Material. Items in Archive are not selected for Mustering. See Archived Material for more information on functionality.

Receipts

Used to create Receipts for Items that are issued Off-Site. This option also prints a one-part or two-part Receipt and allows the user to mark the Receipt as returned. Depending on the value of the System Key MT_REC_ARCH_RETURN, items on a Returned Receipt can be automatically moved to Archive. See Receipts for more information on functionality.

Destruction Notices

Used to create Destruction Certificates for Items that no longer required to be held. This option prints the Destruction Notice and allows the user to mark the Items on the Notice as destroyed. Depending on the value of the System Key MT_DES_ARCHIVE, items on a Destruction Notice can be automatically moved to Archive when the Notice is marked as destroyed. Current Personnel

Used if the Personnel module is not installed, i.e. on a stand-alone Material Tracking installation. This option allows the storing of skeleton information, e.g. Surname, Forenames, etc. of individuals that are likely to have Protectively Marked Material issued to them. This option can help reduce the chances of typographic errors occurring when issuing material. See Current Personnel for more information on functionality
